Education: B.Sc/ M.Sc in Mechanical Engineering

JOB PURPOSE
The Deputy Manager – Tender will be responsible for overseeing all tender-related activities, ensuring compliance with legal, regulatory, and company policies while maximizing the chances of successful tender acquisition. This includes analyzing tender documents, preparing submissions, collaborating with internal teams, and representing the company during negotiations.
PRINCIPLE ACCOUNTABILITIES

Efficient management of the tender process | Monitor and manage the tender department to ensure timely and compliant tender preparation. |
Successful tender submissions | Oversee and manage the entire tender process from start to finish, ensuring compliance with all requirements. |
Timely and accurate tender tracking | Prepare, analyze, and update tender participation lists by tracking APP/DPP of relevant entities. |
Risk assessment and document analysis | Analyze tender documents, technical specifications, and risks; maintain accurate records of submissions. |
Collaboration with internal departments | Work closely with sales, engineering, and finance teams to gather necessary information for tenders. |
Strategic planning and market trend analysis | Forecast future tenders and stay updated on industry trends and market conditions. |
Representation and stakeholder engagement | Represent the company in meetings, presentations, and negotiations with clients, vendors, and stakeholders. |
Team leadership and guidance | Provide leadership and support to team members to foster a collaborative and high-performing environment. |
Effective communication | Maintain verbal and written communication with suppliers and stakeholders. |
MAJOR CHALLENGES:
- Ensuring compliance with complex legal and regulatory requirements in tender submissions.
- Managing tight deadlines while maintaining accuracy and attention to detail.
- Coordinating effectively with multiple internal departments and external stakeholders.
- Staying ahead of market trends and forecasting future opportunities.
- Mitigating risks associated with tender processes and submissions.
KEY DECISIONS:
- Determining the viability of tender opportunities based on risk assessment and compliance.
- Prioritizing tenders based on strategic alignment with organizational goals.
- Approving final tender submissions and associated documentation.
- Allocating resources within the tender department for optimal performance.
- Identifying key stakeholders and maintaining effective relationships.
SKILLS AND KNOWLEDGE
Technical Competencies:
- Strong understanding of tender processes for electrical equipment/materials in utility boards (e.g., BREB, BPDB, DESCO, DPDC, NESCO).
- Proficiency in MS Office programs and data analysis.
- Knowledge of Bill of Materials (BOM) preparation and cost analysis.
Behavioral Competencies:
- Excellent leadership and decision-making skills.
- Strong problem-solving and organizational capabilities.
- Effective verbal and written communication skills, including negotiation expertise.
- Ability to work under pressure and meet tight deadlines.
